Overbooking means you’ve sold the same room twice for the same dates. It’s one of the most stressful problems for an accommodation: the guest has traveled, and you have no room.
Why it happens
- Manual calendars. If you update each platform by hand, eventually you’ll forget one.
- Sync delays. If availability updates every few hours, two guests might book the same room in between.
- Phone or message bookings that don’t go straight into the main calendar.
- Booking changes (dates, room) that don’t update all channels.
- Multiple people managing the same calendar without a shared system.
How to prevent it
- One central calendar. All bookings go through one place, not a notebook, Excel sheets, and platforms separately.
- Automatic sync with a channel manager, so a sale on one channel immediately updates the others.
- A safety margin during high-demand periods, like not selling the last room on all channels at the same time.
- Clear procedure for phone bookings: entered right away, not “later.”
- Review reports every week for bookings without a room or overlapping dates.
If it happens anyway
- Talk to the guest immediately, honestly, and before arrival, not at the door.
- Find an equivalent or better alternative (another room or nearby accommodation) and cover any cost difference.
- Notify the platform through which the booking was made. Platforms have their own rules and there may be consequences, so read the terms that apply to you.
- Find the cause so it doesn’t happen again.
The best solution is never to need the second list. A PMS with built-in channel manager, like HotelPoint, keeps one central calendar and syncs channels automatically. Book a demo to see how it works.
