If you have a small accommodation, you’ve definitely heard three words: PMS, channel manager, booking engine. Many confuse them, and software companies don’t always help. Let’s tell them apart.
The PMS: your accommodation’s “office”
A Property Management System (PMS) is the central system where your reservations live. There you see who’s coming, which room is free, what each guest owes, which rooms need cleaning, and how your revenue is doing. It’s your team’s internal tool.
The channel manager: syncing across channels
If you sell rooms on multiple platforms (Booking.com, Airbnb, Expedia), each reservation needs to update all the others. The channel manager does this automatically: when a room sells on one channel, availability updates everywhere. It also sends prices and restrictions (like minimum stay) to all channels at once, without logging into each platform separately.
The booking engine: direct reservations
It’s the booking system on your site. The guest sees availability and prices, picks a room, and pays without going through a third-party platform. That way you don’t pay OTA commissions on these reservations.
How they connect
The three need to “talk” to each other. A reservation from your booking engine needs to enter the PMS and decrease availability on channels through the channel manager. If you have all three from different providers, you need integrations, and every integration is a point where something can break.
What to get first
There’s no single right order, but here’s a simple rule:
- Selling on 2+ channels: Start with PMS and channel manager. The first problem you solve is double bookings and the time you waste updating calendars.
- You already have your calendar sorted and want to cut commissions: Add a booking engine, as long as you have a site or will set up a booking page.
- Only one channel and few reservations: A simple PMS is enough for now.
Questions to ask a provider
- Is everything one system, or does it come from different providers?
- How quickly does availability update across channels?
- Is there a commission on direct bookings?
- Who will help me with setup?
At HotelPoint, the PMS, channel manager, and booking engine are one unified cloud system with guided setup. If you want to see it in action, book a short demo.
